Reality check

Why the spreadsheet template stops working

Almost every home baker starts with one — free from a Google search, bought from an Etsy shop, shared in a Facebook group, or built themselves on a slow Sunday. Even a nice, paid one runs into the same walls eventually — not because it's badly made, but because of what a spreadsheet can't do.

Prices go stale, silently

You calculate cost the day you build the sheet. Six months and three price hikes later, the formula still shows the old number — because nothing tells you to go re-check forty ingredient rows.

Labor never makes it into the math

Templates have a column for flour and butter. They rarely have one for the three hours you spent decorating — so it quietly gets valued at $0, every single time.

Scaling a recipe means redoing it by hand

Double an order and you're manually recalculating every ingredient line, converting cups to pounds, and hoping you didn't fat-finger a formula reference along the way.

It falls apart past a handful of orders

Fine for five orders a month in one tab. At twenty, you're cross-referencing a recipe tab, an orders tab, and an ingredients tab for every quote — and one wrong cell reference costs you real money.

No record when you actually need one

Templates are built to calculate a price, not to show what you made. At tax time — or when a bank asks — you're rebuilding your numbers from scratch instead of pulling up a report.

That's the whole reason SweetMargins exists — the same costing logic, but it never goes stale, never forgets your labor, and never depends on which tab is really the final one. Start free.

Our story

We built this because our own kitchen table was drowning in spreadsheets.

SweetMargins started as cupcakes for a coworker's birthday. Then a friend's baby shower. Then, somehow, fifteen orders a month out of a home kitchen — tracked in a notebook, a group chat, and a Google Sheet named Orders_FINAL_v3.

The wake-up call came on a Sunday night, adding up flour, butter, sugar, the cake box, the ribbon, and three hours of decorating for a wedding cake we'd priced by eyeballing a competitor's Instagram post. After the math, we'd made about four dollars for a full day's work. We had no idea, because we'd never actually run the numbers.

Turns out we weren't special. Almost every home baker carefully costs out the flour and butter, then forgets to charge for the one ingredient that actually makes the business a business — their own time.

Labor gets rounded down to "free" often enough that the pattern has a name in every cottage-food Facebook group: burning yourself on pricing.

We went looking for something to fix it. The bakery software we found was built for storefronts — POS systems, staff schedules, $30-a-month features we'd never touch. So we built the three things we actually needed: price a recipe honestly, take the order, send the invoice. We used it ourselves for a season of weekend cakes before anyone else ever saw it.

That tool is SweetMargins. It bakes your labor into every price by default, so you stop paying yourself last. If your kitchen table looks like ours did, it's for you too.
